Business digitalisation. First the process, then the tool.

Digitising a process means taking it off paper, out of a spreadsheet or out of someone's head. It goes into a system that runs it, records it and lets you measure it. We start with one, and measure before and after.

What it is

What digitising a process means, and what it doesn't.

Business digitalisation happens one process at a time, and each one is decided on its own.

It isn't scanning paperwork or moving files to the cloud: that just stores the same thing somewhere else. Whoever recommends a tool usually sells it. We don't sell standalone licences, so the recommendation may well be to use what you already have.

If you need to decide where to invest over the next two years rather than digitise a process, that conversation starts here: digital transformation consulting.

When you need us

When digitising a process is worth it.

Only the person handling an order knows where it stands.
Job sheets arrive on paper and somebody types them up.
The process works because one person remembers everything.
Every month somebody spends a day reconciling two systems.
Your Spanish operation reports to head office in a spreadsheet rebuilt every month.
Head office can't see a job's status once it reaches the team in Spain.
Where to start

Which process to digitise first, and in what order.

The one that repeats often, is done by hand and costs you when it fails.

  • Volume. What happens daily pays back the effort; what happens yearly doesn't.
  • Manual effort. Time spent copying, checking or chasing.
  • Cost of a mistake. A delivery lost, an invoice raised twice.
  • An owner. Someone who decides how the process should work. Without them, it doesn't start.

Order matters: if one process feeds another, digitising the second first means redoing work.

What it covers

What we do: automate, connect, implement and measure.

Process digitisation sits within the Build pillar.

The process as it runs today

Who does what, and where it stalls.

Automation of what repeats

The steps copied by hand.

Connecting the systems you have

Integrations between ERP, CRM and data.

Platform implementation when it fits

ERP or CRM, adopted by the team.

A record of every case

Logged and measurable.

Training for the people who use it

Learnt by using it.

We look first at what you have. If it has to be built, that's custom software development.

What to do with what you have.

The spreadsheet that works is often the specification. Older systems are modernised in stages, no big bang.

How we approach it

How we do it: one process at a time.

The second is decided with what the first teaches. We don't work without a discovery phase.

01

Define

How it runs today, who does it and what gets measured. Discovery wraps in 3–5 weeks, depending on team size and documentation.

02

Iterate

The first version is used by the people doing the work, not in a demo.

03

Validate

Tested with real cases, the awkward ones included. Those are the ones that break processes.

04

Ship

Go-live with the procedure written down and training for whoever runs it.

Before and after

How you'll know the digitised process has worked.

The baseline is taken before anything is touched. Without it, any result looks like an improvement.

  • How long one case takes from start to finish.
  • How many cases have to be redone.
  • How many cases each person handles in a week.

Collected by whoever does the work, and measured again after a while in use.

If the number doesn't move, we look again at the process, not the report.

Who it's for

Who this is for, and what changes day to day.

SMEs and large accounts whose process runs on people's effort.

Operations

You stop chasing where each case is.

The status is in the system.

Administration

The copy-and-paste between systems stops.

Data is entered once; anything that doesn't add up is flagged.

Management

You see the process without asking for a report.

You decide with the team's own data.

What we don't do

When digitising a process isn't worth it.

It's what we don't do, applied to this service.

  • The process is about to change. Digitising something still being redefined means doing it twice. Deciding how it should work first is IT consultancy.
  • The process happens three times a year. Automating it costs more than it saves. Write it down and leave it.
  • The process is redundant, and what's needed is to stop doing it. The best digitisation is sometimes removing a step.
  • The data feeding the process hasn't been reviewed. Automating on messy data multiplies the error; it gets cleaned first.

If it doesn't fit, that's fine — that's why we publish it.

Price

What digitising a process costs, and what it depends on.

It depends on four things: how many cases the process handles, how many exceptions it has, which systems it talks to and the state of the data. We don't quote figures before discovery; they'd be made up.

We contract by milestones when the scope is closed, T&M with a cap when several processes need sorting, or team capacity for a monthly commitment.

Connecting two systems you have costs far less than building one. We don't compete on price when that lowers the quality of the team or the result.

Frequently asked

Frequently asked questions about business digitalisation.

How long does it take to digitise a process?

It depends on the exceptions. Discovery wraps in 3–5 weeks; then milestones with visible delivery.

Can we start with a single process?

That's what we recommend: the one costing you most today.

What if only one person knows how the process works?

The most common case. It gets written down, with that person, before anything is automated.

Do we need to buy new software?

Sometimes connecting what you have is enough; sometimes a standard platform fits. We don't sell standalone licences without strategic support behind them.

Who runs the process afterwards?

Your team, or us under clear SLAs (continuous support and evolutive maintenance).

Can you work with our team in Spain and report to head office in English?

Yes, in English and Spanish, on Central European Time, alongside the local team.

How do we start, and what do we need to prepare?

Nothing. Write to us in plain language about the process that's costing you. The technical team replies, not a salesperson.

Shall we talk about your project?
